Assistant Resident Managers play an important role in the successful operation of a residential rental building under our management. In order to meet the service requirements for our residents, Assistant Resident Managers need to have a service oriented approach so that resident issues can be dealt with in a timely and positive manner.
The Assistant Resident Managers Couple are required to live on-site and work flexible hours including month end and on-call requirements.
Cleaning Responsibilities (both individuals)
The Assistant Resident Manager will be primarily responsible for the upkeep of the physical property and grounds and ensure they are maintained in accordance with established company standards. This includes, but is not limited to, the following:
Exterior Duties
- Snow and ice removal, salting of all entrances, walkways, and rooftop accesses, and maintenance of snow removal log books
- Handling of garbage and recycling bins
- General maintenance of underground garage and parking levels, service rooms, foyers, patios, and rooftops (where applicable)
- Watering of gardens and lawns
- Pick up loose garbage around exterior of property and report any serious deficiencies about curb appeal or hazards to residents to the Resident Manager
Interior Duties
- Vacuuming, sweeping, and mopping of carpeted or tiled common areas
- General maintenance of common areas (lobbies, elevators, hallways, stairwells, windows) and amenity areas (laundry rooms, swimming pools, recreation rooms)
- Dusting and cleaning of fire hose cabinets and bells and elevator tracks
- Maintenance and cleaning of garbage chutes, garbage rooms (walls, floors), recycling rooms
- Knowledge and understanding of the safe handling of cleaning materials (WHMIS)
Vacant Units
- Thorough cleaning of all appliances, floors, walls, windows, kitchen, washrooms, and balconies
- Repair of minor maintenance items (i.e. Light fixtures, vents, filters, plumbing fixtures)
- Removal of garbage items and old/broken appliances
Customer Service Responsibilities (both individuals)
- Greeting and interacting with residents in a customer friendly and professional manner
- Prompt response of resident issues and service requests (within 24 hours)
- Assist with resident events (i.e. Holiday parties, summer barbeques)
- Recognition of residents unique requirements (i.e. Long term residents)
- Promote a neighbourly and community atmosphere (i.e. coordinate food drives, garage sales)
Fire Safety-Life Safety-Emergency Situation Responsibilities (both individuals)
- Must have a thorough understanding of Life Safety, Fire Safety, and Emergency procedures
Renting and Administrative Duties
The position requires that one (1) member perform renting and administrative duties as follows:
- Answer phones professionally
- Show and sell suites to prospects
- Process resident applications and conduct credit, reference, and employment checks
- Assist with the collection of rents and preparation of bank deposits
- Utilize Yardi property management system to record various transactions as required
- Assist with market surveys and open houses
Property Maintenance
The other member will be responsible for:
- Responding to maintenance requests within 24 hours of receiving a written work order
- Daily walk through of each floor, stairwell, and common areas correcting minor deficiencies observed and reporting to the Resident Manager any major deficiencies found
- Assist the Resident Manager in duties outlined in the Preventative Maintenance Manual (i.e. HVAC monitoring, electrical, plumbing, boiler & chiller, etc.)
- Must be familiar with operations of mechanical systems in property and ensure all service logs are up to date
- Assist the Resident Manager with the scheduling and overseeing of the activities of tradesmen and contractors as required
Skill Set Required
- Strong customer service skills
- Positive attitude towards learning and training
- Well-developed verbal communication skills
- Strong administration and organization skills
- Demonstrated cleaning skills
- Ability to display a professional/presentable appearance/attire
- Ability to work independently and with minimal supervision when carrying out day-to-day responsibilities
- Basic computer and keyboarding skills
- Ability to perform minor repairs and aptitude for mechanical systems
- One individual must be able to lift and push heavy objects, including garbage bins, furniture and appliances or perform snow removal duties, sometimes for extended periods of time
- Bilingual in English and French an asset (where applicable)
- Ability to perform in a team environment
